Terms
These are the terms a school agrees to when it uses Smart Minds. They are written to be read.
The licence
We give your school the right to use Smart Minds for as long as it is paid up. The licence covers everyone at the school — staff, students and parents — at no extra cost per login.
The software stays ours. Your data stays yours.
What you pay
The plan price is per student per year, billed annually or across three terms. The student count is taken from the active roll.
WhatsApp messages are billed separately at the rate Meta charges us, with no margin added, itemised on your communication screen. Email is included.
Prices change at renewal, never mid-term, and we tell you sixty days beforehand.
What we promise
We aim for 99.9% availability, measured monthly, excluding planned maintenance we have told you about in advance.
We keep daily backups and can restore to any point in the last thirty days.
We will tell you within 72 hours if we become aware of a breach affecting your data.
What we ask
Put in accurate data, and keep parents' contact details current — an absence alert to a wrong number is worse than none at all.
Collect consent from parents for the messages the school chooses to send. The school holds that relationship; we only deliver.
Do not attempt to reach another school's workspace, or use the platform to send anything a school would not put on its own letterhead.
Money
Online fee payments settle to the school's own linked account. Smart Minds does not hold your money and never becomes the merchant of record for a fee payment.
Marking a payslip paid is a record that the school paid somebody by its own means. No salary money moves through this product.
Ending it
You can leave at the end of any billing period by telling us. We do not auto-renew a school that has said it is going.
On leaving you get a full export. We delete the workspace thirty days later, or immediately if you ask.
We can suspend a school that has not paid after sixty days, or one using the platform to break the law. We always contact a person first.
Liability
We are liable for what we get wrong, capped at the fees you paid us in the twelve months before the claim.
We are not liable for decisions a school makes using the software, for data entered incorrectly, or for outages at Meta, AWS or Razorpay — though we will work with you through any of them.
Governing law
These terms are governed by the laws of India, and the courts of Bengaluru have jurisdiction.
